Minutes of Special Voters’ Assembly Meeting

June 30, 2019   11:45am   Wyatt Rd. Campus

The meeting was called to order by Acting President Diane Mayfield at 11:55am. One hundred six members registered, which exceeded the required quorum of 40 members. This special meeting and topic were properly announced in advance as required by Timothy’s by-laws. Members received a packet of information upon entering the meeting, which included the meeting agenda, brief biography of the candidate for Senior Pastor, and Call Committee Summary Report. Pastor Rod led the Assembly in opening prayer.

 

Call for Senior Pastor—Steve Schild, Call Committee Chair

After reviewing the most recent Call Committee Summary Report, Steve read the following motion:

The Call Committee, with affirmation votes from the Executive Board an Elected Elders, moves that the Voters’ Assembly of Timothy Lutheran Ministry extends a divine call to Pastor Martin A. Hasz as Timothy’s next Senior Pastor.

The motion was seconded by Terry Calvin. There were no discussion. By unanimous show of hands, the Assembly approved to extend this call to Pastor Hasz. Pastor Rod closed the meeting with prayer at 12:01pm.

From Executive Board—Charlie Johnson, Congregational Secretary

Executive Board met on June 10 with Ben Ryan, Diane Mayfield, Joe Sauter, Carol Cronkhite, Sandy Bahrenburg, Louie Wilbers, Charlie Johnson, Gary Flandermeyer and Pastor John attending. Meeting was opened with prayer.

It was moved, seconded and carried to approve the May 13 meeting minutes.

Reports:

  • Financial: Treasurer Gary Flandermeyer reported that all current bills and expenses are being paid. LCEF loan principal balance decreased by $10,552 in April. It was moved, seconded and carried to approve the April 2019 financials as presented by Gary. He is authorized to publish the information.
  • Senior Pastor’s/President’s Report: Call Committee is preparing for second round of video interviews with remaining candidates. Preparations are progressing for National Youth Gathering; fundraising goal was met. Pastor John is working on new Confirmation videos. Ben and Pastor have been discussing Restore programs.

Business:

  • Property Board Report: Louie presented several bids:
  1. Correcting long-term drainage problems at R.D. Mize (Nabholz Company)
  2. Replace ECC playground’s current surface with cushioning and artificial turf (SYNlawn)
  3. Replace parking lot at R.D. Mize (Max Paving)
  4. Preliminary study to examine security issues at R.D. Mize and ECC (WNB Architects)
  5. Cleaning, stripping & waxing hallway floors at both campuses (City Wide Company)
  6. Card reader and re-keying at R.D. Mize
  7. New safe for Wyatt (Costco)
  • TLC Technology Assessment Report: Louie and Joe summarized discussions with various employees about the Shelby software program, time-keeping system, security cameras, credit card availability for tuition/other payments, and TLC website.
  • Insurance: Joe presented report on comparing previous policy to new policy. The report included an action plan for implementation at renewal date.
  • Next and Future Meetings: Monday, July 8, 6pm, Room 302, R.D. Mize.  Future meetings will occur on second Monday each month.

Call Committee for selecting Timothy’s next Senior Pastor met on Thursday, June 6, 2019, with Steve Schild, Pam Dennis, Randy McClain, Angie Mundt, Charlie Cronkhite, Jeremy Montgomery, Melissa Struewe, Diane Mayfield and Pastor John attending.

Steve opened the meeting with prayer.

The committee reviewed protocol to date and discussed options for moving forward with the call process. Three viable candidates remain from original list. Second-round interviews will be set up for the near future.

The committee conducted a second video interview with a Senior Pastor candidate. At the conclusion of the interview, the committee continued discussion about the divine call process.

The Senior Pastor candidate closed the interview with prayer.

The next Call Committee meeting is Monday, June 17, at 8pm, in Room 1206, Wyatt Rd. Campus.

From GO Commission—Kathy Wildschuetz, Commission Leader

GO Commission met via email in May. Discussion included the following:

  • Live Well Community Event expenditures from GO Commission: Mailing list–$47.68; Postcard printing–$253.93; Bulk mailing–$169.30.
  • Music Festival: Will partner with GATHER for the music festival and Fall-O-Ween Jesus (trunk-or-treat activity) for the same day, tentatively Oct. 26. Planning meeting on June 3. New Bridge is available to perform. Updates about performances from other bands soon.
  • Everyone His Witness: Will reach out to GROW Commission to seek possible partnering of this program for the congregation.

Executive Board met on May 13 with all members attending. Ben opened the meeting with prayer.

It was moved, seconded and carried to approve the Mar. 11 regular meeting minutes, Apr. 9 regular meeting minutes, and the May 5 Voters’ Meeting minutes.

Reports:

  • Financial:
  1. The financial reports for March 2019 were presented by Gary Flandermeyer and reviewed by the Executive Board, consisting of the Budgeted Income & Expense statement and graphs, the Budgeted Financial Exception Report, the Designated Funds report, and the Balance Sheet, all emailed to board members 12 days prior to the meeting.
  2. Gary informed the board since three months of financial data for 2019 are available, graphs of the budgeted financial information have been included with the budgeted reports and will continue each month for the remainder of the year.
  3. As previously directed by the board, plans are in place for reclassification of First Fruits contributions from Designated Funds to Operations on a monthly basis beginning in March rather than a one-time transfer at the end of the year. The First Fruits reclassification for March was $5,860 to Operations. This reduced the budget deficit by this same amount.
  4. There was a budget surplus of $12,180 for March, based on $229,517 in income and $217,336 in expenses. The March budgeted cash flow called for a surplus of $29,636. The year-to-date budget deficit is $136,982. General contributions are approximately $58,000 below budget. All bills are being paid and are current.
  5. Balance Sheet: Operating cash (Commerce Bank) balance was $276,853, down from only $8,863 from February. Current assets at $724,287 are down $10,567 from February.
  6. Designated Funds: The total Designated Funds balance was $677,938 at the end of March, a $25,962 decrease from February. There were approximately $15,000 in R.D. Mize building HVAC maintenance costs paid in March. The unplanned cost was funded by the Festival Committee designated fund to eliminate this financial impact to the operating budget.
  7. It was moved, seconded and carried to approve March 2019 financial reports as written and to release to the congregation. Gary was authorized to distribute copies of the financial reports.
  • Senior Pastor/President’s Reports:
  1. Ben is reviewing suggestions received from some members of the congregation.
  2. Timothy disbursed $40,000 this week to fund repair of Sanctuary roof at R.D. Mize and $30,000 for parking lot repairs over the past seven years.

Business:

  • School Ministry: The School Board and Ben continue to discuss details about retaining the Director of Development position. School Board is working on the contract. The Executive Board moved, seconded and carried to approve the appointment of Trent Yager to fill the unexpired school board position, vacated by Nathan Parker..

Old Business:

  • Commission Reports:
  1. GROW Commission is evaluating ministries concluding at the end of the 2018-2019 school year as well as planning for summer and 2019-2020 school year activities. The board is working on transitioning plans due to Pastor Rod’s retirement.
  2. GO Commission is developing plans for a fall music concert.
  3. GATHER Commission is working on plans for the June All-Church Potluck, Faith & Family Night at the K on July 27, ice cream social in Aug, and Fall-O-Ween Jesus in Oct.
  4. GIVE Commission is working on plans for the 2020 Live Well Community Event on March 7.
  • ECC: The ECC staff plans to submit its business plan to the Executive Board soon.

Minutes of the Special Voters’ Assembly Meeting

Call for Senior Pastor—Steve Schild, Call Committee Chair, presented a summary report and brief biography of the Senior Pastor candidate by reading the following motion:

The Call Committee, with affirmation votes from the Executive Board and Elected Elders, moves that the Voters’ Assembly of Timothy Lutheran Ministries extends a divine all to Pastor Jason W. Taylor as Timothy’s next Senior Pastor.

The motion was seconded by Rex Thompson, then followed by discussion.

By a unanimous show of hands, the Assembly approved a divine call to Pastor Jason W. Taylor as Timothy Lutheran Ministries’ next Senior Pastor. Special thanks were expressed to the diverse Call Committee for the many hours spent on this call process.

Call for TLS Teacher—Jacob Gorrow, Director of Board of Elders, read the motion:

The Board of Elders, with affirmation votes from the Executive Board and School Board, moves that the Voters’ Assembly of Timothy Lutheran Ministries extends a divine call to Jill Otte as a full-time teacher at Timothy Lutheran School, effective fall 2019.

The motion was seconded by Charlie Cronkhite, then followed by discussion.

By a unanimous show of hands, the Assembly approved a divine call to Jill Otte as a full-time teacher at Timothy Lutheran School, effective fall 2019.

The meeting closed with prayer by Pastor John.

From Executive Board—Charlie Johnson, Congregational Secretary

Executive Board met on April 9 with Ben Ryan, Joe Sauter, Carol Cronkhite, Sandy Bahrenburg, Louie Wilbers, Charlie Johnson, Gary Flandermeyer, Pastor John & Pastor Rod attending.  The first part of the meeting was a joint meeting with Elected Elders, with Steve Schild, Jacob Gorrow, Charlie Cronkhite, Mark Meyer, Kyle Oelkhaus and Tary Krahenbuhl attending.

  • Update on the Call Process: Steve Schild and Jacob Gorrow provided updates about the call process.
  • First Fruits Update: 2019 First Fruits had hoped to total $200,000. Unfortunately, only $59,000 was received. Timothy has additional expenses to address, such as roof repair, parking lot repair, elevator updates, computer & operating systems updates, and others. The board continues to investigate funding these projects.
  • Financials: The financial reports for February 2019 were presented by Gary Flandermeyer and reviewed by the board. Note: Financials will only be published after the CPA has closed the books for the month. It was moved, seconded and carried to approve the financial reports as written. Gary was authorized to distribute copies to the congregation.
  • Retention of School Ministries Director of Development: Ben has spoken to the original donor and has secured funding of this position for another year.
  • 2019 Action List/Priority: The document was reviewed and updated.
  • Appeal for Full-time Toddler Teacher: The board needs more information before it can review and act on this request.
  • Insurance Claim for Water Damage at R.D. Mize: Ben will forward the claim denial letter and other information for analysis to Joe for review.

Call Committee for selecting Timothy’s next Senior Pastor met on Thursday, April 11, 2019, with Charlie Cronkhite, Pam Dennis, Kate Force, Sandy Galvin, Diane Mayfield, Mark Meyer, Donald Miller, Stephen Schild, Tyler Shaffer, Melissa Struewe and Pastor John attending. Jacob Gorrow, Randy McClain, Jeremy Montgomery, Angie Mundt and Pastor Lemmermann were unable to attend.

Pastor John opened the meeting with prayer.

The purpose of the meeting was to conduct a second video interview with the committee’s top-ranked candidate. Before the interview, Chair Steve Schild distributed the committee’s submitted follow-up questions for review and outlined steps for after the interview. At the close of the interview the pastor candidate closed with prayer.

At the completion of the interview, the committee affirmed this candidate as its top choice. A recording of the video interview will be emailed to absent committee members, asking them to review by Monday, April 15, 8pm. Since both the Executive Board and Elected Elders have been apprised of the committee’s progress, Steve will contact the President of the Congregation and Director of Elders toe ask for vote of affirmation from each group via email by early next week. Steve will compose a Call Committee Report for publication to the congregation during Easter Weekend. The committee suggests a Special Voters’ Meeting on Sunday, May 5, 2019, at 11:45am at Wyatt Rd. Campus for the purpose of securing voters’ approval to call the committee’s choice for Timothy’s next Senior Pastor. If approved, call documents will be sent to the candidate early the week of May 5.

A short, written bio of the candidate will be available at the Special Voters’ Meeting. Steve asked for 3 volunteers from the Call Committee to speak at the meeting as support for the call of the candidate. (NOTE:  This request has since been revised to submit comments in writing for publication on Voters’ Meeting documents.) All committee members are asked to submit comments via email to Steve by April 22, citing reasons for this candidate’s #1 ranking and why he is a good fit for Timothy.

Call Committee Update
The Call Committee has been busy reviewing and ranking candidates who were open to a divine call as Timothy’s next Senior Pastor. Of those nine candidates, the committee completed first-round video interviews with the top five candidates and a second video interview with the top candidate.

The Executive Board and Elected Elders were briefed on the committee’s candidates ranking methodology. Ben Ryan, Congregational President, and Jacob Gorrow, Director of Elders, were contacted about the committee’s recommendation, asking for an affirmation vote from each group for the top-ranked candidate. President Ryan has scheduled a Special Voters’ Meeting for May 5, 2019, at 11:45am at Wyatt Rd. Campus to seek approval for calling Timothy’s next Senior Pastor.
Please continue to keep the Call Committee, Timothy Church, and the man whom God has already selected a Timothy’s next Senior Pastor, as well as the church where he currently serves, in your prayers a God unfolds His plan.
